Accept the Lowest Responsive, Responsible Bids Submitted by Multiple Vendors - Invitation to Bid (ITB) #17043-MST-VT Door Services: Repair, Removal, and Installation (Business Services Division) | |
EXECUTIVE SUMMARY | |
On May 1, 2017, Procurement Services, in conjunction with the Facilities Maintenance Support Department, issued an ITB to establish fixed pricing for the installation, removal, and repair of interior and exterior doors districtwide. The Facilities Maintenance Support Department Manager has reviewed this recommendation. The initial term of this agreement shall be for a one-year period, with four one-year renewals. There is a 30-day termination for convenience clause included in this contract. All prices offered are firm against any increase for at least one year from the effective date. This contract will be reviewed and evaluated annually and may be renewed by the Superintendent, per the terms of the specifications. |

Funds in the amount of $260,000 will be available in the Facilities Maintenance Support Department budget. For tracking purposes, the project number specific to this agenda item is 8009. Funds will be allocated in the 2017/2018 fiscal year budget. | |
EVALUATION | |
Contract administration or evaluation is performed by the Project Manager (end user) and the Procurement Officer who function as a team. Reviews are conducted annually or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration Team must first give consideration to the specifications and supporting data of the expiring contract. | |
