SUBJECT / RECOMMENDATIONS
Accept the Lowest Responsive, Responsible Bids Submitted by Multiple Vendors - Invitation to Bid (ITB) #17127-DST-VT Large Food Service Equipment (Business Services Division)
EXECUTIVE SUMMARY
On October 13, 2017, Procurement Services, in conjunction with Student Nutrition Services, issued an ITB for large food service equipment.  This ITB establishes fixed pricing for equipment such as ovens, steam tables, and refrigeration units. Award of this agreement shall be to the lowest bidder for each line item or groups of items, as specified in the bid. The General Manager of Student Nutrition Services has reviewed this recommendation. There is a 30-day termination for convenience clause included in this contract. All prices offered are firm against any increase for one year from the effective date.  This bid is solicited annually.

FINANCIAL IMPACT (Budgeted:  Yes)
Funds in the amount of $800,000 will be available in the Student Nutrition Services budget.  For tracking purposes, the project number specific to this agenda item is 9999.  As of November 7, 2017, the remaining balance less encumbrances for this line item equaled $3,184,536.31.
EVALUATION
Contract administration and evaluation is performed by the Project Manager (the "End User") and the Procurement Officer, who function as a team, by utilizing an online vendor performance report or via in-person reviews. The evaluation consists of an assessment of the vendor-provided goods and services, deliverables, and compliance with contractual requirements. The resulting data will support renewal decisions and/or alterations to a new agreement.
