SUBJECT / RECOMMENDATIONS
Accept the Lowest Responsive, Responsible Bids Submitted by Multiple Vendors – Invitation to Bid (ITB) #17129-DST-VT Athletic Uniforms and Equipment (Business Services Division)
EXECUTIVE SUMMARY
On December 6, 2017, Procurement Services, in conjunction with the Athletics Department, issued an ITB to establish fixed pricing for athletic uniforms, equipment, and other supplies for District sports programs including football, baseball, basketball, soccer, track and field, and lacrosse for the 2018/2019 school year.  Award of this contract shall be to the lowest bidder for each line item or group of items, as specified in the bid. This recommendation has been reviewed by the Director of Athletics. There is a 30-day termination for convenience clause included in this contract. All prices offered are firm against any increase for the year. This contract is solicited annually and is non-renewable.

FINANCIAL IMPACT (Budgeted:  Yes)
Funds in the amount of $600,000 will be available in the General Fund for Athletic supplies.  For tracking purposes, the project number specific to this agenda item is 6408.  As of January 22, 2018, the remaining balance less encumbrances for this line item equaled $600,698.28.
EVALUATION
Contract administration and evaluation is performed by the Project Manager (the "End User") and the Procurement Officer, who function as a team, by utilizing an online vendor performance report or via in-person reviews. The evaluation consists of an assessment of the vendor-provided goods and services, deliverables, and compliance with contractual requirements. The resulting data will support renewal decisions and/or alterations to a new agreement.
