EXECUTIVE SUMMARY | |
This bid was prepared by Procurement Services at the request of the Transportation Department to establish fixed pricing for the provision of propane gas and related services. To ensure fair and open competition, the district utilizes an online vendor registration system to notify potential bidders of opportunities. Through this system, three (3) bidders responded. Award shall be to the lowest overall responsive, responsible bidder, as specified in the bid. The bidders were asked to provide fixed prices and/or a mark-up to a nationally recognized index. It is to the district’s financial advantage to accept the markup option (item #3) as market conditions currently yield low per gallon rates. The district re-evaluates prices as market conditions change.
The initial term of this agreement shall be for 2 years beginning August 24, 2016, with 3 additional 1-year renewals. There is a 30-day termination for convenience clause included in this contract. All prices offered are firm against any increase for at least two years from the effective date. This contract may be renewed by the Superintendent, per the terms of the specifications. |

Funds in the amount of $130,000.00 will be available in the Transportation Department budget. For tracking purposes, the project number specific to this agenda item is 5335. As of Wednesday, August 3, 2016, the remaining balance less encumbrances for this line item equaled $6,318,253.84. | |
