| Accept the Lowest Responsive, Responsible Bids Submitted by Multiple Vendors - Invitation to Bid (ITB) #16067-EST Projector Bulbs (Business Services Division) | |
| EXECUTIVE SUMMARY | |
| This bid was prepared at the request of the Technology Repair and CCTV/LAN Departments to establish fixed pricing for the replacement of projector bulbs at schools and sites throughout the district. Award of this contract shall be to the lowest responsive, responsible bidder, as specified in the bid. This recommendation has been reviewed by the acting manager of the Technology Operations Center.
The initial term of this contract will be from September 7, 2016, through September 6, 2017, with 1-year renewals for 2 years. There is a 30-day termination for convenience clause included in this contract. The Superintendent is authorized to approve the renewal agreement, per the terms of the specifications. |

| Expenditures are estimated to be $225,000 for the 2016/2017 fiscal year. Projector bulbs are ordered districtwide and expensed from each site's supply budget, therefore no specific project number applies to these purchases. | |
| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are performed annually or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
