Accept the Piggyback of the Agreement Between Duval Ford and the Florida Sheriffs Association-Invitation to Bid (ITB) #FSA17-VEL 25.0 Police Rated, Administrative, Utility Vehicles, Trucks and Vans (Business Services Division)
EXECUTIVE SUMMARY
If approved, the district will purchase two Ford Transit Utility Cargo Vans (E1Z) (T-150) for Custodial Operations.  Quotes were obtained on other makes and models for price comparisons.  The initial term of this contract is from October 1, 2017, through September 30, 2018.  This contract may be renewed for up to two additional years on a year-to-year basis.  Hillsborough County Public Schools will commence its use effective June 20, 2018.  Piggyback agreements may be terminated at any time. This contract will be reviewed and evaluated annually and may be renewed by the Superintendent, per the terms of the specifications.

In accordance with the Florida Department of Education Purchasing Policy 6A-1.012(6), in lieu of requesting competitive solicitations from three or more sources, district school boards may make purchases at or below the specific prices from contracts awarded by other city or county governmental agencies, or other district school boards.

• Establish a strong foundation of financial stewardship • Demonstrate "best practices" in all aspects of safety: student, employee, visitor, facility, transportation, and health
FINANCIAL IMPACT (Budgeted:  Yes)
Funds in the amount of $59,850 will be available in the Millage, Fund 378.  For tracking purposes, the project number specific to this agenda item is 8119.  As of May 29, 2018, the remaining balance less encumbrances for this line item equaled $956,122.75.
EVALUATION
Contract administration and evaluation is performed by the Project Manager (the “End User”) and Procurement Officer, who function as a team, by utilizing an online vendor performance report or via in-person reviews.  Prior to soliciting a new contract, the Contract Administration Team must first give consideration to the specifications and supporting data of the expiring contract.
