SUBJECT / RECOMMENDATIONS
Approve the Increase in Expenditures for Invitation to Bid (ITB) #17148-DST-VT Paint and Body Collision Repair Services (Business Services Division)
EXECUTIVE SUMMARY
On January 23, 2018, the Board approved the agreement with Gerber Collision and Glass and Jovon, Inc., for collision repair services. There is a need to increase the previously approved contract amount due to the number of floors that have to be replaced on our current buses.

The practice of using water hoses inside of buses stopped three years ago, however, the damage to the plywood underfloor had already occurred. A new solicitation is currently being written to identify an alternative method of cleaning the interior of the current fleet.

FINANCIAL IMPACT (Budgeted:  Yes)
Annual expenditures are estimated to be $700,000.  Funds will be available in the Transportation Department budget. For tracking purposes, the project number specific to this agenda item is 5335. As of August 3, 2018, the remaining balance less encumbrances for this line item equaled $1,246,937.25.
EVALUATION
Contract administration and evaluation is performed by the Project Manager (the "End User") and the Procurement Officer, who function as a team, by utilizing an online vendor performance report or via in-person reviews. The evaluation consists of an assessment of the vendor-provided goods and services, deliverables, and compliance with contractual requirements. The resulting data will support renewal decisions and/or alterations to a new agreement.
