Approve the Piggyback of the Agreement Between All American Tracks Corp. and the School Board of Palm Beach County, Florida - Invitation to Bid (ITB) #15C-40K-0-2016/JB Install and/or Repair Polyurethane & Rubber Tracks (Business Services Division)
EXECUTIVE SUMMARY
If approved, this agreement will secure prices and establish a term agreement to provide, install, and/or repair polyurethane and rubber coatings for running tracks in various locations throughout the district.

The initial term of this contract was for a 3-year term beginning June 16, 2015, through June 15, 2018, with the option to renew for one additional 2-year period. The first option to renew is now being exercised for the period from June 16, 2018, through June 15, 2020. If approved, Hillsborough County Public Schools will commence its use effective December 5, 2018. Piggyback agreements may be terminated at any time. This contract will be reviewed and evaluated annually and may be renewed by the Superintendent, per the terms of the specifications.

FINANCIAL IMPACT (Budgeted:  Yes)
Estimated expenditures in the amount of $80,000 will be available in the Sites and Utilities Department budget for 2018/2019. For tracking purposes, the project number specific to this agenda item is 8045. As of November 7, 2018, the remaining balance less encumbrances for this line item equaled $88,890.
EVALUATION
Contract administration and evaluation is performed by the Project Manager (the "End User") and the Procurement Officer, who function as a team, by utilizing an online vendor performance report or via in-person reviews. The evaluation consists of an assessment of the vendor-provided goods and services, deliverables, and compliance with contractual requirements. The resulting data will support renewal decisions and/or alterations to a new agreement.
