| Accept the Lowest Responsive, Responsible Bid Submitted by Envision Flooring - Invitation to Bid (ITB) #16102-MST Carpet Installation and Related Services (Business Services Division) | |
| EXECUTIVE SUMMARY | |
| This bid was prepared at the request of the Facilities Maintenance Support Department to establish fixed pricing for the installation of carpet and carpet related services districtwide. Award of this contract shall be to the lowest responsive, responsible bidder, as specified in the bid. This recommendation has been reviewed by the manager of the Facilities Maintenance Support Department.
To synchronize renewal periods with the existing flooring and tile bid, the initial term of this contract will be from October 5, 2016, through August 2, 2017, with 1-year renewals for 4 years. There is a 30-day termination for convenience clause included in this contract. The Superintendent is authorized to approve the renewal agreement, per the terms of the specifications. |

| Expenditures are estimated to be $260,000.00 and are available in Millage. As product is ordered districtwide, funds are transferred into individual department budgets in project number 8017. | |
| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are performed annually or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
