| Accept the Lowest Responsive, Responsible Bids Submitted by Multiple Vendors – Invitation to Bid (ITB) #16148-DST Athletic Uniforms and Equipment (Business Services Division) | |
| EXECUTIVE SUMMARY | |
| On December 8, 2016, Procurement Services, in conjunction with the Athletics Department, issued an ITB to establish fixed pricing for athletic uniforms, equipment, and other supplies for district sports programs including football, baseball, basketball, soccer, track and field, and lacrosse for the 2017/2018 school year.
Award of this contract shall be to the lowest bidder for each line item or group of items, as specified in the bid. This recommendation has been reviewed by the Director of Athletics. There is a 30-day termination for convenience clause included in this contract. All prices offered are firm against any increase for the year. This contract is solicited annually and is non-renewable. |

| Funds in the amount of $600,000.00 will be available in the General Fund. For tracking purposes, the project number specific to this agenda item is 6408. As of Thursday, January 12, 2017, the remaining balance less encumbrances for this line item equaled $678,639.64. | |
| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and the Procurement Officer, who function as a team. Reviews are conducted annually or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration Team must first give consideration to the specifications and supporting data of the expiring contract. | |
