Accept the Lowest, Responsive, Responsible Bid Submitted by Baker Distributing Company - Invitation to Bid (ITB) #17010-MST Air Conditioning Units for Potter Elementary (Business Services Division)
EXECUTIVE SUMMARY
This bid was requested by the Air Conditioning & Energy Management Services Department for the purchase of 28 air conditioning units for Potter Elementary to replace existing aged air conditioning units that have outlived their usefulness. The average age of the existing units is 14 years and they are no longer manufactured, making it difficult and more costly to find replacement parts. This recommendation has been reviewed by the Air Conditioning & Energy Management Services Department Manager.  

This contract is for a one-time purchase.  The term of the contract shall be to the completion of the project.

FINANCIAL IMPACT (Budgeted:  Yes)
Funds in the amount of $79,106.00 will be available in the Air Conditioning & Energy Management Department Captial Outlay budget. For tracking purposes, the project number specific to this agenda item is 8162. As of Wednesday, March 1, 2017, the remaining balance less encumbrances for this line item equaled $79,106.00.
EVALUATION
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. This contract will be monitored to assure adherence to the terms and specifications. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
