SUBJECT / RECOMMENDATIONS
Accept the Lowest Responsive, Responsible Bid Submitted by A American Electrical Contractor, Inc. - Invitation to Bid (ITB) #17135-MST-BJH Sickles High School Stage Lighting Project (Business Services Division)
EXECUTIVE SUMMARY
On October 31, 2017, Procurement Services, in conjunction with Communications and Electronics, issued an ITB for stage lighting at Sickles High School. The existing stage lighting system in the auditorium at Sickles High School is not operational and requires replacement.  The project scope provided for the replacement of the existing lighting and control system with new LED lamps and controls.  The Manager of Communications and Electronics has reviewed this recommendation. This contract is for a one-time purchase. The term of the contract shall be to the completion of the project.
STRATEGIC OBJECTIVES
• Establish a strong foundation of financial stewardship • Construct and maintain facilities that create an environment conducive to teaching and learning
FINANCIAL IMPACT (Budgeted:  Yes)
Funds in the amount of $129,500 will be available in the Communications and Electronics Department budget.  For tracking purposes, the project number specific to this agenda item is 8102.  As of October 30, 2017, the remaining balance less encumbrances for this line item equaled $188,660.
EVALUATION
Contract administration and evaluation is performed by the Project Manager (the "End User") and the Procurement Officer, who function as a team, by utilizing an online vendor performance report or via in-person reviews. The evaluation consists of an assessment of the vendor-provided goods and services, deliverables, and compliance with contractual requirements. The resulting data will support renewal decisions and/or alterations to a new agreement.
