Approve the Lease Agreement for Data Center Printers from Ricoh USA, Inc. (Business Services Division) Revised Attachments
EXECUTIVE SUMMARY
This lease is governed by the terms of the U.S. Communities Master Services Agreement for copiers from Ricoh USA, Inc. approved by the Board on September 30, 2014.  The Office of Information Technology utilizes two large-scale continuous-form IBM laser printers to produce printed output for schools and administration locations that were purchased in 2004.  In 2007, IBM discontinued supporting these printers by creating the InfoPrint Solutions Company, subsequently acquired by Ricoh USA, Inc.  Toner is no longer manufactured for the existing model printers.  The printers must be replaced due to the unavailability of toner and repair parts.

This agenda item approves a 60-month lease of 2 certified remanufactured Kodak Digimaster HD125 model printers and a Duplo DC-616 PRO Slitter/Cutter/Creaser finishing solution.  The newer printers are faster and use standard cut-sheet paper eliminating the need and reducing the cost for continuous-form paper.  Included in the lease agreement is a statement of work for the implementation services necessary to install the two printers at no additional expense.  This agreement may be renewed by the Superintendent, per the terms of the specifications.

FINANCIAL IMPACT (Budgeted:  Yes)
The 5-year lease cost is $351,445.80.  The lease payments total $70,289.16 per year.  Discontinuing the printer maintenance and higher operating expenses on the replaced printers offsets the estimated annual cost by $40,000 resulting in a net increase to the Data Center printer budget by approximately $30,000 per year.  
EVALUATION
The printing solution is reviewed annually to confirm that it provides the functionality required to meet the district goals and objectives in a cost-effective manner.
