Accept the Lowest Responsive, Responsible Bid Submitted by Tec-Link LLC - Invitation to Bid (ITB) #16101-DST Symantec SymEd (Business Services Division)
EXECUTIVE SUMMARY
On August 2, 2016, Procurement Services, in conjunction with the Information Technology (IT) Department, issued an ITB to establish fixed pricing for Symantec SymEd software. The Symantec SymEd Bundle is a suite of software utilized by the district to address computer security and software.  This bundle covers desktop/laptop and server anti-virus software for approximately 100,000 devices, as well as application provisioning, patching, and encryption.  This recommendation has been reviewed by the Manager of the IT Infrastructure and Shared Services Department. 

The initial term of this agreement shall be for 1 year beginning September 9, 2016, with 2 additional 1-year renewals. There is a 30-day termination for convenience clause included in this contract. All prices offered are firm against any increase for at least one year from the effective date. This contract may be renewed by the Superintendent, per the terms of the specifications.

Funds in the amount of $1,072,500.22 will be available in the Information Technology Department budget. For tracking purposes, the project number specific to this agenda item is 9999. As of Tuesday, August 16, 2016, the remaining balance less encumbrances for this line item equaled $3,941,683.97.
EVALUATION
Contract administration or evaluation is performed by the IT Project Manager and Procurement Officer, who function as a team. Reviews are performed annually or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
