Approve the Piggyback of the Agreement Between Various Vendors and the State of Florida Contract #25100000-16-1 Motor Vehicles (Business Services Division)
EXECUTIVE SUMMARY
If approved, the district will purchase 1 Ford T-150 van, 1 Ford T-250 van, 1 Ford F-150 truck, and 6 Ford F-250 trucks for the Maintenance Department to replace vehicles beyond economical repair.  Quotes were obtained from dealerships awarded on both the State of Florida and Florida Sheriffs Association contracts for price comparisons.  The initial term of this contract is from November 17, 2015, through November 16, 2017, and may be renewed for a period that may not exceed 3 years or the term of the contract, whichever period is longer.  Hillsborough County Public Schools will commence its use effective July 20, 2016.  This contract may be renewed by the Superintendent, per the terms of the specifications.

In accordance with the Florida Department of Education (FLDOE), Purchasing Policy 6A-1.012(6), in lieu of requesting competitive solicitations from three or more sources, district school boards may make purchases at or below the specific prices from contracts awarded by other city or county governmental agencies, or other district school boards.

FINANCIAL IMPACT (Budgeted:  No)
Expenditures for 2015/2016 are $471,985.15 and $169,534 for 2014/2015.  Funds in the amount of $260,804.50 will be available in Local Millage.  For tracking purposes, the project number specific to this agenda item is 8019.  As of June 23, 2016, the remaining balance less encumbrances for this line item equaled $732,861.35.
EVALUATION
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are performed annually or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
