SUBJECT / RECOMMENDATIONS
Accept the Lowest Responsive, Responsible Bid Submitted by American Medical Response – Invitation to Bid (ITB) #16058-DST Ambulance and Emergency Medical Services (Business Services Division)
EXECUTIVE SUMMARY
On May 10, 2016, Procurement Services, in conjunction with the Athletics Department, issued an ITB to establish fixed pricing for on-site emergency medical, and ambulance services for all varsity and junior varsity football games and other athletic events, as well as other non-athletic districtwide special events throughout the school year such as graduation ceremonies and music competitions.  This award recommendation has been reviewed by the Director of Athletics.

The initial term of this contract is for 1 year beginning July 20, 2016, with 1-year renewals for 4 years.  This agreement may be renewed by the Superintendent, per the terms of the specifications.
STRATEGIC OBJECTIVES

FINANCIAL IMPACT (Budgeted:  Yes)
Funds in the amount of $102,000.00 will be available in the Athletic Department budget, project number 6400. As of June 27, 2016, the remaining balance less encumbrances for this line item equaled $125,000.00. Funds in the amount of approximately $40,000 for non-athletic events will be in various districtwide budgets under project 9999.
EVALUATION
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are performed annually or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
