SUBJECT / RECOMMENDATIONS
Report of January 17, 2007, Quarterly Review Meeting with Hewlett Packard and Hillsborough County Public Schools.
EXECUTIVE SUMMARY
The committee met at the Consortium for Education and Technology on January 17, 2007, to review hardware, software, pricing, small business enterprise (SBE) activity, value adds, and to plan for model changes and new application requirements. The attached minutes and accompanying documents provide detail on the presentations, discussions, and decisions of the committee. Some significant highlights follow:
- Agenda and minutes of meeting. (attachment 1)
- Price comparisons with the Florida IT and WSCA contracts show that the district continues to receive significant discounts on bundled products. (attachment 2)
- 82 sites received installations of 1,072 units (computers, laptops or printers/carts). UDT partnered with Southern Telecom (STC) to accomplish these installations. Both of these firms are registered with our Office of Supplier Diversity.
- Of $33,162 paid for installation by HP to the subcontractors, STC earned $15,970.00. (attachment 3)

Value Adds and the employee/student purchase program are progressing and involve Office Depot, HP and the district. The coupon processing will yield a report for the April Quarterly Review. (attachments 4 and 5)

HP computer installations are being scheduled with the computer refresh orders now in process. During the third quarter, credits and points added $56,658 in value to the district.
ANNUAL DISTRICT GOAL(S) AND CRITICAL SUCCESS FACTOR(S)
As stated in the OPPAGGA report, "Efficient purchasing and warehousing requires that management processes be in place to ensure that supplies, equipment, and services vital to the school's education mission are purchased from a competitive source, in the right quantity, delivered timely to the correct location, and stored in a secure location. These criteria should be met for each purchase without sacrificing quality."
FINANCIAL IMPACT (Budgeted: Yes)
The quartely review ensures the district is receiving maximum value on product and services during the term of the original contract signed by the School Board in May 2006.
EVALUATION
The report to the board provides accountability for monitoring the contract and the negotiated benefits.
