This bid was prepared at the request of the Transportation Department, for use by the Maintenance Department, to establish fixed pricing for three Ford F-350 trucks and related service. Award of this contract shall be to the lowest responsive and responsible bidder as specified in the bid. This recommendation has been reviewed by the Transportation Department Manager. A more detailed review of the specifications can be obtained by contacting the Procurement Department.

The initial term of the service and parts portion of the contract will be for a one-year period, with five one-year renewals, subject to negotiations and mutual agreement. The Superintendent is authorized to approve the renewal agreement, per the terms of the specifications.

Funds not to exceed $94,000 will be available in the General Operating budget, as needed. Hillsborough County Public Schools will save approximately $15,000 over the traditional piggy-back agreement by utilizing bidnerd.com reverse auction process for the one-time purchase of the vehicles.

Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
