Renew Existing Bid Submitted by Various Vendors - Invitation to Bid (ITB) #9137-EST Projectors and Document Cameras (Business Division)

On September 22, 2009, the Procurement Department, in conjunction with the Customer Service and Support Department, Information and Technology Division, issued a competitive sealed bid for the purchase of projectors and document cameras. The initial term of the contract was from November 4, 2009 through November 3, 2010, with four additional one-year renewal options. The suppliers have agreed to renew for the first year, beginning November 4, 2010, and ending November 3, 2011, with prices, terms, and conditions to remain unchanged. The Superintendent is authorized to approve the renewal agreement for the terms of the specifications.

These funds will be included in the General Fund or Capital Outlay Budget in an amount not to exceed $1,700,000.

Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
