Approve the Lawson Software Agreement for Process Flow Integrator (PFI) Licenses (Information and Technology Division)

EXECUTIVE SUMMARY

As part of the scheduled software maintenance for Lawson System Foundation (LSF) 9.0 approved by the School Board on October 16, 2007, a conversion license is required to increase the number of licenses from two to four for the Process Flow Integrator (PFI) product. The enhanced PFI product replaces the Process Flow Professional (PFP) and Business Component Integrator (BCI) currently in use at the District and is a requirement for use with LSF 9.0. The product is the key component for developing process flows for integration and collaboration of procurement and supply chain management. As an example, it enables us to ensure that the person who requests or inputs a requisition cannot also approve that same requisition. The process flow developed allows for clear delineation and separation of duties and responsibilities. The Information Services Technical Support staff completed the installation of LSF 9.0, and the Information Services Applications Programming staff updated and tested the applications and interfaces before winter break. Currently, the Business and Human Resource Division functional users are conducting tests to confirm data integrity and data accuracy. We fully expect to complete the migration to LSF 9.0 by the originally planned completion date of March 3, 2008.

This recommendation meets Division Key Objective Areas of Data Accuracy and Financial Performance in support of the District Plan of Work and is also in-line with OPPAGA Best Business Financial Practices.

FINANCIAL IMPACT (Budgeted: Yes)

Total fees payable for two licenses of PFI less discounts of $12,000 is $28,000. Product Order Form in that amount is attached. Lawson services approved by the School Board on October 16, 2007, will be reduced by $28,000 to cover this expense.

EVALUATION

The Lawson Software Agreement for PFI licenses in itself as software does not require evaluation; however, we will evaluate its effectiveness as part of the Lawson migration to LSF 9.0.
