SUBJECT / RECOMMENDATIONS

Accept the Overall Lowest and Best Bid Submitted by PPG/Porter Paints - Invitation to Bid (ITB) #8193-MST Paint (Business Division)

EXECUTIVE SUMMARY

This bid was prepared at the request of the Maintenance Department to establish fixed pricing for paint. Award of this contract shall be to the overall lowest and best bidder, as specified in the bid. This recommendation has been reviewed by the Manager of Facilities Maintenance Support. The manager recommended PPG/Porter Paints as the apparent low bidder for all paint and related materials when considering the 50% balance of lines, the availability of stores, and product quality. A more detailed review of the specifications can be obtained by contacting the Procurement Department.

Funds of approximately $100,000 will be available in the Maintenance Department budget for paint.

EVALUATION

Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
