SUBJECT / RECOMMENDATIONS
Accept the Lowest and Best Bids Submitted by Various Vendors - Invitation to Bid (ITB) #9045A-MST Custodial Supplies (Business Division)
EXECUTIVE SUMMARY
This bid was prepared at the request of the Custodial Operations Department to establish one year of fixed pricing for custodial supplies. On March 24, 2009, and May 5, 2009, the Board approved ITB #9005-MST Custodial Chemicals and ITB #9045-MST Custodial Supplies. Competitive pricing was not received on several items from the previous ITB's; therefore, it was necessary to re-advertise. Award of this contract shall be to the lowest bidder for each line item, as specified in the bid and may be renewed in four (4) one-year increments, subject to negotiations. This recommendation has been reviewed by the Custodial Operations Manager. A more detailed review of the specifications can be obtained by contacting the Procurement Department.

Funds of approximately $50,000 will be available in the Custodial Operations Department budget for the purchase of custodial supplies.
EVALUATION
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
