SUBJECT / RECOMMENDATIONS

Accept the Lowest and Best Bids Submitted by Various Vendors - Invitation to Bid (ITB) #9138-DST Classroom Supplies and Equipment Catalog Discount Bid (Business Division)

EXECUTIVE SUMMARY

This bid was prepared to establish catalog pricing for classroom supplies and equipment. The rationale for this recommendation is to facilitate low dollar purchases for miscellaneous or incidental items throughout the year. This bid is valid for an initial one-year period and may be renewed in four one-year increments. Due to the overwhelming response to this bid, award is based on past and projected dollar expenditures to each vendor. Items currently awarded on specific district bids shall take precedence and not be purchased using this incidental bid. A more detailed review of the specifications can be obtained by contacting the Procurement Department.

Funds of approximately $60,000 will be available in various district budgets as needed.

EVALUATION

Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
