This bid was prepared at the request of the Information Services Department to establish fixed pricing for routers for WAN Telecommunications following E-Rate program requirements. It is expected that 215 routers will be approved by E-Rate for upgrading telecommunications. In the event that less than 215 routers are approved for funding, the above number of routers will be reduced. As a requirement of the ITB, all bidders must have a registration or service provider number issued by the Universal Service Fund (E-Rate) in order to be eligible to receive reimbursement. These funds are, or will be, included in the General Fund Budget in an amount not to exceed $1,545,158 for routers. The district staff will follow the E-Rate procedures to ensure eligible sites receive the maximum rebates of 70%. The value of goods and services is approximately $1,545,158, which represents an estimated cost savings of $1,081,611 after rebates.

Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
