Renew Existing Bid Submitted by Various Vendors - Invitation to Bid (ITB) #9155-EST Household Appliances (Business Division)
EXECUTIVE SUMMARY
On October 26, 2009, the Procurement Department, in conjunction with the Family and Consumer Sciences Department, issued a competitive sealed bid for the purchase of household appliances.  The initial term of the contract was from December 9, 2009 through December 8, 2010, with four additional one-year renewal options. 

The suppliers have agreed to renew for the first year, beginning December 9, 2010, and ending December 8, 2011, with prices, terms, and conditions to remain unchanged.  The Superintendent is authorized to approve the renewal agreement for the terms of the specifications.

FINANCIAL IMPACT (Budgeted:  No)
These funds will be included in the General Fund or Capital Outlay Budget in an amount not to exceed $50,000.
EVALUATION
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team.  Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report.  Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
