Approve the Agreements for the Lawson Student Activity System Software Licenses, Maintenance, and Installation Services (Information and Technology Division)
EXECUTIVE SUMMARY
HCPS current internal accounts tracking system Education Program Educational Software (EPES) is over 20 years old. This is a non-centralized system and lacks the ability to compile data or communicate districtwide.  Beginning April 2010, Audit staff, Divisional System Analyst, and school level personnel helped Lawson design and beta test the new Lawson Student Activity System. 

Lawson will provide their Student Activity System to enable the district to enhance its internal controls by unifying the accounting databases to all fall under the Lawson umbrella.  This allows for centralized data mining and improved management of the schools' internal accounts.

FINANCIAL IMPACT (Budgeted:  Yes)
The funding for this item will come from the Information Technology Department (IT) through the Lawson Project in the amount of $84,105 for the software and licensing and $25,600 for installation. The Procurement Department was involved and, with help from IT, negotiated an additional discount of $36,045.  Ongoing yearly software maintenance fees will be calculated at 20% of the net software fee.  The amount will be added to the yearly Lawson maintenance invoice beginning June 1, 2011.
EVALUATION
Consultants' work is monitored on a continual basis to determine quality and cost effectiveness to the district.
