Renew the Existing Bid Submitted by Various Vendors - Invitation to Bid (ITB) #10021-MST Plumbing Services (Business Division)
EXECUTIVE SUMMARY
On March 8, 2010, the Procurement Department, in conjunction with the Maintenance Department, issued an ITB for plumbing services.  Factors for this bid included hourly rate, call-out fee, and material markup.  In an attempt to provide additional bidding opportunities for vendors, award of this contract was to the lowest bidder per maintenance area, which resulted in award to certified Small Business Enterprise (SBE) vendors.

The initial term for this award was from May 19, 2010 to May 18, 2011, with four additional one-year renewal options, negotiable yearly.  The suppliers have agreed to renew for the period beginning May 19, 2011, and ending May 18, 2012, with prices, terms, and conditions to remain unchanged.  The Superintendent is authorized to approve the renewal agreement for the terms of the specifications.

Funds of approximately $500,000 are available in the Maintenance Department budget.
EVALUATION
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team.  Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report.  Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
