Accept the Lowest and Best Bids Submitted by Various Vendors - Invitation to Bid #11062-DST Refrigerated Trucks, Dump Trucks, and Sprinter Van Rental (Business Division) | |
EXECUTIVE SUMMARY | |
This bid was prepared at the request of the Student Nutrition Services Department and the Sites and Utilities Department to establish fixed pricing for refrigerated trucks, refrigerated semi-trailers, and sprinter delivery vans, as needed. Refrigerated semi-trailers are used for storage of food items and refrigerated trucks are used for transportation of food items to Parks and Recreation for the summer feeding program. Sprinter delivery vans are used in the event of a breakdown of the mail service delivery vans.
Award of this contract shall be to the lowest overall bidder for each line item, or group of items, as specified in the bid. The General Manager of Student Nutrition Services has reviewed this recommendation. A more detailed review of the specifications can be obtained by contacting the Procurement Department. |

The estimated annual contract total for the refrigerated trucks is between $50,000 and $65,000 and will be appropriated by Student Nutrition Funds. The minimal expenditure for the sprinter delivery vans will be funded by the General Fund budget. | |
EVALUATION | |
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. |
