SUBJECT / RECOMMENDATIONS
Renew the Existing Bid Submitted by Buck's Wholesale Plumbing, Inc. - Request for Proposal (RFP) #8024-MST Plumbing Parts and Supplies (Business Division)
EXECUTIVE SUMMARY
On February 11, 2009, the Procurement Department, in conjunction with the Maintenance Department, issued an RFP for plumbing parts and supplies.  Supplies include PVC, galvanized, and copper pipes, fittings and connectors, faucets, toilets, and urinals.  The supplier is to provide plumbing parts and supplies for district warehouses to increase efficiency.

The initial term for this award was from July 15, 2009 to July 14, 2010, with four additional one-year renewal options, negotiable yearly.  The supplier has agreed to renew for the period beginning July 15, 2011, and ending July 14, 2012; negotiated rates will allow an overall increase of 3%.  The Superintendent is authorized to approve the renewal agreement for the term of the specifications.

The district spent $224,000 during the 2009/2010 school year and $199,511 through a 12-month period as of May 26, 2011.
EVALUATION

Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team.  Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report.  Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
