| Renew the Existing Bid Submitted by Airgas Refrigerant - Invitation to Bid (ITB) #10079 MST Refrigerant Gas (Business Division) | |
| EXECUTIVE SUMMARY | |
| On July 22, 2010, the Procurement Department, in conjunction with the Air Conditioning and Energy Management Department, issued an ITB for refrigerant gas. Various refrigerant gases such as R22, R1234A, R123, and R408A are used for the heating and cooling of the district's air conditioning units.
The initial term for this award was from September 17, 2010 to September 16, 2011, with four additional one-year renewal options, negotiable yearly. The supplier has agreed to renew for the period beginning September 17, 2011, and ending September 16, 2012, with a request to increase the price to offset the supply reductions created by ongoing regulations and phase out programs. Hillsborough County Public Schools has received proof of increases from DuPont. The annual price increase is estimated to be $8,800. The Superintendent is authorized to approve the renewal agreement for the terms of the specifications. |

| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. |
