Student Nutrition Services - Managing with Key Performance Indicators (Student Services and Federal Programs Division) 
EXECUTIVE SUMMARY
Initiative:  Student Nutrition Services (SNS) staff developed a system of managing operational and finance functions by using data-supported Key Performance Indicators (KPI) at all sites. In the past, SNS managers have received a profit/loss statement that provided information about overall financial performance. However, this statement did not provide data to show managers where they needed to make improvements, how their site compared to similar operations, nor reinforce those decisions that positively impacted performance. Managers needed more meaningful and useful reports to control the business of feeding children.

The site progress report was created to provide SNS managers with a “snapshot” that would clearly paint a picture of whether a program was successful, or needed improvement. Whereas not one KPI tells the whole story, collectively they can show how well a manager is supervising a school meal program. The report included goals for revenue and expenditures, based on each school’s individual circumstances, historic performance, and potential. Goals were compared to actual monthly data to indicate progress or the need for improvement. Furthermore, the report provided useful feedback to the manager such as “good job” or “do this” to correct an identified problem. Overall, using KPIs has contributed to the financial strength of the SNS program.
