SUBJECT / RECOMMENDATIONS
Approve the Purchase of Vehicles from Bartow Ford Company DBA Bartow Ford (Business Division)
EXECUTIVE SUMMARY
On December 13, 2011, the Board approved the piggyback of Invitation to Bid (ITB) #02-071-000-S Motor Vehicles between Bartow Ford Company DBA Bartow Ford and the State of Florida, Department of Management Services.  The district will be utilizing the State of Florida ITB for the purchase of two Ford F-350 trucks and one Ford E-250 cargo van for use by the Maintenance Department.  These new trucks will be replacing vehicles that have been deemed beyond economical repair.
STRATEGIC OBJECTIVES
• Align financial resources to support the district’s strategic goals
FINANCIAL IMPACT (Budgeted:  Yes)
Funds not to exceed $93,450 will be available in the general operating budget in Project 5355, titled Vehicles.  This purchase is based on 2012 pricing for 2013 models.
EVALUATION
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team.  Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report.  Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
