SUBJECT / RECOMMENDATIONS
Approve Facility Rental Fee Schedule 2013-14
EXECUTIVE SUMMARY

Hillsborough County Public Schools facilities are available for rent to private entities following the fee schedule established by the School Board. Periodically the fee schedule has been updated to reflect increases in costs to maintain and operate the facilities as may be applicable. Additionally, in response to a workshop held by the School Board, a fee for ½ day use of some facilities will be established. The proposed update to the fee schedule includes:

  • Increases in the hourly cost of electricity to reflect updated energy costs for the use of the facilities
  • Adding an option to rent certain facilities for ½ day and establishing a fee for that use, including auditoriums, gymnasiums, theaters and parking lots
  • Adding a fee for use of the teaching auditoriums at Aparicio-Levy & Learey

Footnote 1 advises users regarding the fee structure for ½ day use. If users contract for the ½ day use period but run over time, they will be charged the hourly rate, not the full day rate. This ensures that school personnel can adequately plan for their staffing needs.

The Energy Management Department provided the updated costs for electrical services. The Administration, Business and Facilities Divisions were involved in reviewing the proposed fees. The goal is to establish a fee schedule that is reasonable, yet ensures that allowing use by other entities does not COST the School District money.

The updated rental fees will not impact previously approved agreements with PTA and the local governments, except for the changes to the direct cost for energy.  No increase in personnel costs was needed.
