| Accept the Bid Submitted by Mac Papers, Inc. - Invitation to Bid (ITB) #13049-DST Print Shop Paper (Business Division) | |
| EXECUTIVE SUMMARY | |
This bid was prepared at the request of the Central Printing Department to establish fixed pricing for specialty papers used to produce the district's custom printing projects. Some examples include carbonless, vellum, envelopes, glossy, certificate, and various assorted specialty papers. This recommendation has been reviewed by the Central Printing Department Manager. The initial term of this contract shall be for a one-year period beginning July 1, 2013, with four one-year renewals. All prices offered are firm against any increase for at least one year from the effective date. This contract may be renewed by the Superintendent, per the terms of the specifications. |

| Year-to-date expenditures are $57,004 for 2012/2013, and $63,787 for 2011/2012. An additional 1 percent discount has been negotiated for items purchased in Group 1, as well as an early payment discount of 1 percent. | |
| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
