Accept the Highest Ranking Proposal from Sunera LLC – Request for Proposal (RFP) #13057-DST Information Technology Assessment (Business Division)
EXECUTIVE SUMMARY
On June 12, 2013, the Procurement Department, in conjunction with the Information and Technology Division, issued an RFP for a comprehensive information technology assessment.  The goal of the assessment is to determine how the district can best support its increasingly sophisticated technology needs, both now and in the future.  This is not simply a technical exercise, but includes an analysis of the people, processes, and technology that support the district's varied information technology systems.  The outcome will provide the district with a strategic roadmap and specific recommendations to address the gaps between the current state and designed future state of technology. 

Ten companies responded and a committee consisting of Technology, Budget, Communications, and Curriculum Department representatives read the proposals, attended presentations by the two top-ranked vendors, and recommended awarding to the top-ranked firm.

The initial term of the contract shall be until completion, with an expected timeframe of 14 weeks.

Funds of approximately $184,140 will be available in the Information and Technology Division budget for information technology assessment.
EVALUATION
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team.  Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report.  Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract.
