| Accept the Lowest and Best Bid Submitted by McConnie Fence Company, Inc. - Invitation to Bid (ITB) #13113-MST Fence Installation and Repair (Business Division) | |
| EXECUTIVE SUMMARY | |
| This bid was prepared at the request of the Sites and Utilities Department to establish fixed pricing for fence installation and repair. Award of this contract shall be to the lowest overall bidder, as specified in the bid. This recommendation has been reviewed by the Manager of the Sites and Utilities Department. A more detailed review of the specifications can be obtained by contacting the Procurement Department.
The initial term of this contract will be for one year, with four one-year renewals. All prices offered are firm against any increase for at least one year from the effective date. The Superintendent is authorized to approve any renewal agreements, per the terms of the specifications. |

| Funds will be available in the Sites and Utilities Department budget for fence installation and repair. Expenditures were $1,070,511 for 2012/2013, due to special projects to replace or add fencing at various schools sites, and $228,667 for 2011/2012. | |
| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
