| Renew the Existing Bid Submitted by Various Vendors – Invitation to Bid (ITB) #11062-DST Refrigerated Trucks, Dump Trucks, and Sprinter Van Rental (Business Division) | |
| EXECUTIVE SUMMARY | |
| On May 17, 2011, the Hillsborough County School Board approved the ITB to establish fixed pricing for refrigerated trucks, refrigerated semi-trailers, and sprinter delivery vans, as needed. Refrigerated semi-trailers are used for storage of food items and refrigerated trucks are used for transportation of food items to Tampa Parks and Recreation for the summer feeding program. Sprinter delivery vans are used in the event of a breakdown of the Mail Service Department delivery vans.
The initial term of the contract was from May 18, 2011, through May 17, 2012, with four additional one-year renewal periods. Ryder Truck Rental, Inc. and Truck Refrigeration Service & Rental, Inc. have agreed to renew for the fourth year with pricing and terms and conditions to remain unchanged. This contract may be renewed by the Superintendent, per the terms of the specifications. |

| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
