| Approve the Contract Between All American Tracks Corporation (Single-Source Provider) and Hillsborough County Public Schools (HCPS) for the Preventive Maintenance of Polyurethane and Rubber Coatings for Running Tracks (Business Division) | |
| EXECUTIVE SUMMARY | |
| HCPS has invested in rubberized running track surfaces at nine of our high schools. The most recent investment exceeded $88,000 at Chamberlain High School in October 2013. All American Tracks Corporation provides a one-year warranty and suggests a five-year preventative maintenance program thereafter, which repairs gouges, seams, cracks during the first four years, and in year five repairs and coats the entire track with track binder.
The preventative maintenance program has proven to extend the track life, as evidenced by our 2005 and 2006 installations. All American Tracks Corporation has consistently provided excellent service when fulfilling previous requirements. The annual preventative maintenance program is $5,500 per school or $49,500 total. The Superintendent is authorized to renew the terms of the maintenance agreement. |

| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
