Accept the Proposals from Multiple Vendors – Request for Proposal (RFP) #15024-DST Vehicle Replacement Parts for Transportation and Vocational Education Programs (Business Division) | |
EXECUTIVE SUMMARY | |
On March 24, 2015, the Procurement Department, in conjunction with the Transportation Department, Workforce and Continuing Education, issued an RFP to establish a list of pre-qualified firms to provide new and rebuilt parts, supplies, and chemicals for automobiles and trucks. The district will utilize this bid for repair of “white fleet” vehicles, as well as an educational tool for vocational programs at six high schools, four career and technical centers, and four technical colleges.
Seven firms responded and their proposals were evaluated by a committee of district personnel. After review and discussion of the proposals, the committee recommended awarding to the five top-ranked firms. The initial term of this contract will be for a one-year period, with four one-year renewals, subject to negotiations and mutual agreement. The Superintendent is authorized to approve any renewal agreements, per the terms of the specifications. |

EVALUATION | |
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are conducted face to face, typically quarterly, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
