| Accept the Lowest, Responsive, Responsible Bids Submitted by Multiple Vendors - Invitation to Bid (ITB) #15101-MST HVAC Inventory Parts (Business Division) | |
| EXECUTIVE SUMMARY | |
| This bid was prepared at the request of the Heating, Ventilation and Air Conditioning (HVAC) and Energy Management Services Department to establish fixed pricing of HVAC inventory parts for use throughout the district. Award of this contract shall be to the overall lowest responsive and responsible bidders, as specified in the bid. This recommendation has been reviewed by the HVAC and Energy Management Services Department Manager.
The initial term of the contract will be for a one-year period, with four one-year renewals. All prices offered are firm against any increase for at least one year from the effective date. The Superintendent is authorized to approve any renewal agreements, per the terms of the specifications. |

| Previous “as needed” purchases were identified as potential inventory items. These purchases were $359,654 for 2014/2015 and $231,125 for 2013/2014. Funds will be available in the general fund reserve for inventory account budget for the term of this agreement. | |
| EVALUATION | |
| Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are performed annually or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
