SUBJECT / RECOMMENDATIONS
Accept the Lowest Responsive, Responsible Bid from Silicon Mountain Memory – Invitation to Bid (ITB) #18026-DST-VT Random Access Memory (RAM) Chips (Business Services Division)
EXECUTIVE SUMMARY
On June 13, 2018, Procurement Services, in conjunction with the Information Technology Department, issued an ITB for RAM chips utilized for repair and upgrades to desktop computers, laptops, and servers throughout the district. The bid was prepared to establish fixed pricing for the repair and support of existing hardware. This recommendation has been reviewed by the Manager of Infrastructure and Shared Services.  The initial term of this agreement shall be for two years beginning August 1, 2018, with two additional 1-year renewals. There is a 30-day termination for convenience clause included in this contract. All prices offered are firm against any increase for at least one year from the effective date. This contract may be renewed by the Superintendent, per the terms of the specifications.

FINANCIAL IMPACT (Budgeted:  Yes)
Funds in the amount of $70,000 will be available in the General Fund. Because this product is ordered districtwide, there is not one project number assigned to these purchases.
EVALUATION
Contract administration and evaluation is performed by the Project Manager (the "End User") and the Procurement Officer, who function as a team, by utilizing an online vendor performance report or via in-person reviews. The evaluation consists of an assessment of the vendor-provided goods and services, deliverables, and compliance with contractual requirements. The resulting data will support renewal decisions and/or alterations to a new agreement.
