Approve the Increase in Expenditures for Fleet Maintenance Service under the Piggyback of the Agreement Between TBC Retail Group, dba Tire Kingdom, and Duval County Public Schools – Invitation to Bid (ITB) #019-16/CP Fleet Maintenance Service (Business Services Division)
EXECUTIVE SUMMARY
On June 27, 2017, the Board approved the piggyback of the agreement between TBC Retail Group, dba Tire Kingdom, and Duval County Public Schools for preventive maintenance services on support fleet of non-school bus vehicles. 

Since the time the agreement was awarded, more vehicles are being serviced due to the improved maintenance schedule resulting from this agreement. The original bid prices have remained firm since the time of award.  This agenda approves an increase to the annual expense to $100,000.

FINANCIAL IMPACT (Budgeted:  Yes)
Annual expenditures are now estimated to be $100,000.  Funds in the amount of $100,000 are available in the Transportation Department budget.  For tracking purposes, the project number specific to this agenda item is 5335.  As of January 11, 2019, the remaining balance less encumbrances for this line item equaled $1,739,425.32.
EVALUATION
Contract administration and evaluation is performed by the Project Manager (the “End User”) and the Procurement Officer, who function as a team, by utilizing an online vendor performance report or via in-person reviews.  The evaluation consists of an assessment of the contractor-provided goods and services, deliverables, and compliance with contractual requirements.  The resulting data will support renewal decisions and/or alterations to a new agreement.
