Accept the Bid from KAT Construction & Materials, Inc. - Invitation to Bid (ITB) #19018-MST-IV Hydro Tank Replacement (Durant High School and Knights Elementary School) (Business Services Division)
EXECUTIVE SUMMARY
On February 22, 2019, Procurement Services, in conjunction with the Sites and Utilities Department, issued an ITB for the replacement of hydro tanks at Durant High and Knights Elementary schools project. Services include the replacement of the tanks and associated piping valves, fittings, and appurtenances. This recommendation has been reviewed by the Department Manager at Sites and Utilities.

The award of this contract will be in effect for a mutually agreed period to allow for the completion of the projects that are to commence in the summer of 2019. There is a 30-day termination for convenience clause included in this contract. All prices offered are firm against any increase for one year from the effective date.

Funds in the amount of $121,172.50 will be available in the Sites and Utilities budget.  For tracking purposes, the project numbers specific to this agenda item are 8155 and 8055. As of April 8, 2019, the remaining balances less encumbrances for these line items equaled $123,172.50.
EVALUATION
Contract administration and evaluation is performed by the Project Manager (the "End User") and the Procurement Officer, who function as a team, by utilizing an online vendor performance report or via in-person reviews. The evaluation consists of an assessment of the vendor-provided goods and services, deliverables, and compliance with contractual requirements. The resulting data will support renewal decisions and/or alterations to a new agreement.
