SUBJECT / RECOMMENDATIONS
Approve the Agreement for Technical Services #19144-ATS-IV with Karin D. Powell, LLC, for Development and Maintenance of Web-Based Applications (Business Services Division)
EXECUTIVE SUMMARY
Karin D. Powell, LLC has been the developer of multiple applications provided through the district’s web servers. These applications include, but are not limited to, the School Board Agenda Management System, Social Worker Intervention Field Tool (SWIFT), and the Alternative Certification Program (ACP) Online Courses Manager. As the chief designer of the systems, Karin D. Powell, LLC, is the only supplier that possesses the unique knowledge and capability to continue these projects. This ATS is necessary to continue the functionality and support for these systems. These systems link employees to a wide variety of information throughout the district and help streamline district processes and procedures, reducing time and paperwork.  The applications users include employees, parents, students and community partners.  These applications require ongoing maintenance, support and enhancements and must be kept in compliance with internal business processes. Karin D. Powell, LLC, works directly with the Information Technology staff to perform tasks and duties as required.

Funds in the amount of $70,000 are included in the Information Technology budget for this expense. For tracking purposes, the project number specific to this agenda item is 4500.
EVALUATION
Contract administration and evaluation is performed by the Project Manager (the "End User") and the Procurement Officer, who function as a team, by utilizing an online vendor performance report or via in-person reviews. The evaluation consists of an assessment of the vendor-provided goods and services, deliverables, and compliance with contractual requirements. The resulting data will support renewal decisions and/or alterations to a new agreement.
