Accept the Lowest Responsive, Responsible Bid Submitted by QVS, Inc. – Invitation to Bid (ITB) #16047-DST Food Service Sanitation Program (Business Services Division) | |
EXECUTIVE SUMMARY | |
On May 23, 2016, the Procurement Department, in conjunction with Student Nutrition Services Department, issued an ITB to established fixed pricing for food service sanitation supplies.
The work to be performed consists of the direct delivery of chemicals and various cleaning supplies to individual school sites, including related manuals and training. Products include cleaners, degreasers, and detergents. All awarded products have been certified for use in the sanitation program and are considered safe within a K-12 school environment. The initial term of this agreement will be for a 1-year period beginning August 6, 2016, with 1-year renewals for 4 years. All prices offered are firm against any increase for at least one year from the effective date. This contract may be renewed by the Superintendent, per the terms of the specifications. |

Year-to-date expenditures are $155,316.86 and $158,590.64 for 2014/2015. Funds in the amount of $160,000.00 will be available in the 2016/2017 Student Nutrition Services budget for food service sanitation. For tracking purposes, project number 9999 will be used for these purchases. | |
EVALUATION | |
Contract administration or evaluation is performed by the Project Manager (end user) and Procurement Officer, who function as a team. Reviews are performed annually, or by utilizing an online vendor performance report. Prior to soliciting a new contract, the Contract Administration team must first give consideration to the specifications and supporting data of the expiring contract. | |
