B6.04 - Award the Lowest Responsive, Responsible Bid Submitted by Santana Pressure Cleaning Services, Inc. - Invitation to Bid (ITB) #20084-MST-IV Court Staining and Pressure Washing Services (Operations Division)

Description

On August 17, 2020, Procurement Services, in conjunction with the Facilities Maintenance Department, issued an ITB to provide pressure washing and court staining services, districtwide. These services include, but are not limited to, the staining and pressure washing of play and sunshade courts including the provision of all related labor, materials, supervision, equipment, and incidentals, as needed.

The initial term of this agreement shall be for one year, with four 1-year renewals. There is a 30-day termination for convenience clause included in this contract. All prices offered are firm against any increase for one year from the effective date. This contract will be reviewed and evaluated annually and renewed by the Superintendent, per the terms of the specifications.

Gap Analysis

After continued use and weather conditions, play and sunshade courts need upkeep, cleaning, and re-staining. 

Previous Outcomes

Previous contracts for court staining and pressure washing services have been successfully implemented during previous years. The Operations team will continue to work with the awarded vendor to approve and follow-up that the work has been completed. 

Expected Outcomes

Upon approval we require the vendor to provide the necessary services according to the terms and conditions listed in the ITB. The awarded vendor is:

Financial Impact

Funds in the amount of $100,000 will be available in the Capital Fund, Millage Project. For tracking purposes, the project numbers specific to this agenda item are 8070 and 8045.

Review Comments

Contract administration and evaluation is performed by the Project Manager (the "End User") and the Procurement Officer, who function as a team, by utilizing an online vendor performance report or via in-person reviews. The evaluation consists of an assessment of the vendor-provided goods and services, deliverables, and compliance with contractual requirements. The resulting data will support renewal decisions and/or alterations to a new agreement.
