B5.02 - Approve the Agreement with the Florida State Fairgrounds for 2020-2021 Graduations (Chief of Schools, Administration and Leadership Development)

Graduations are scheduled for Tuesday, May 25, 2021 through Thursday, June 3, 2021 at the Florida State Fairgrounds Expo Hall for our 27 traditional high schools, 8 adult education schools, 4 technical colleges, 4 career centers and Hillsborough Virtual School.  The make-up days are Sunday, May 30, 2021 and/or Monday, May 31, 2021.  Graduation dates, times and locations for our Exceptional Student Centers are attached.

The Florida State Fair Authority requests that the School Board Chair's signature be the first signature on the contract to acknowledge acceptance prior to their final signature.

We expect to celebrate 14,982 seniors this year based on our 20 day count.  Based on last year's numbers, we also expect to add 500+ students earning diplomas and certifications from our Adult, Technical and Career Centers.  This will be the first year for Hillsborough Virtual School to hold their ceremony at the Fairgrounds.  On the 20th day, they had 262 seniors enrolled.

It is recommended that the agreement presented be approved.

Funds in the amount of $165,085.85 will be available in the Administrative Division Graduation Rental budget.  For tracking purposes, the project number specific to this agenda item is 5300.  As of September 29, 2020, this account balance is zero.  Once approved, the budget request will be submitted to the Business Office.
