SUBJECT / RECOMMENDATIONS

VARIOUS SCHOOLS
DEMOLITION AND INSTALLATION OF FIRE ALARM AND INTERCOM SYSTEMS
AWARD OF CONTRACTS

EXECUTIVE SUMMARY

This project is being planned by the engineering firm of Tanase & Associates, Inc. The scope of work provides for demolition and installation of both the intercom and fire alarm systems at Cypress Creek, Summerfield, Trapnell, and Yates; the fire alarm system only at Marshall, and the Technology Repair Department; and the intercom system only at Mango and Tampa Bay Boulevard.
The project was advertised and bids received (see attachment). Bid documents provided by Rauland Borg Corporation of Florida led to an initial determination that their bid was not responsive to the requirements of the solicitation. Rauland Borg has provided subsequent clarification (attached) indicating that their bid is for the project as specified, without exception.
Bidders were requested to bid on each component at each site, and in varying combinations (both projects at a site, all intercom projects, all projects, etc.) The recommendation is for the combination believed to be in the best interest of the District. Due to the short summer construction period, elimination of potential conflicts between contractors on a particular site is advantageous. Since selection of the low bidder for each system provides a relatively small cost advantage to selection of the low bidder for the combined projects at each site, the recommendation is to award to the low bidder for each site, as follows: a. Award replacement of both the intercom and fire alarm systems at Cypress Creek, Trapnell, and Yates; and the fire alarm system only at the Technology Repair Department to the low bidder for those projects, Alarm and Communications Systems, Inc. b. Award replacement of both the intercom and fire alarm systems at Summerfield; the fire alarm system only at Marshall; and the intercom system only at Tampa Bay Boulevard to the low bidder for those projects, Interbay Electric, Inc. c. Award replacement of the intercom system only at Mango to the low bidder for that project, Rauland Borg Corporation of Florida.
