Approve Lawson Services and Software Agreements for Upgrade to Lawson Software Version 8.0.3 (Information and Technology Division)

EXECUTIVE SUMMARY

On August 22, 2006, the School Board approved agenda item 5.12R authorizing contract negotiations with Lawson Software for services to upgrade to Lawson version 8.0.3 and for the purchase and implementation of software enhancements available in version 8.0.3. Attached are the following documents resulting from the negotiations: 1) Master Services Agreement that details the Terms and Conditions for utilizing Lawson Services on this upgrade as well as for any future service engagements where we request Lawson Services, 2) Services Order Form that details the specifics as a Scope of Work for this upgrade, and 3) the Software Product Order Form that provides the costs and license specifications for the additional software enhancements the District is purchasing.

Meets Division Key Objective Areas of Data Accuracy and Financial Performance in support of the District Plan of Work.

FINANCIAL IMPACT (Budgeted: Yes)

Lawson service agreement fees are based upon time and materials. The total projected services fees for this agreement including consulting, project management, project director and training is $1,677,560. The total software fee is $506,756. The total estimate for Lawson services and software is $2,184,316 of the $3,590,000 budget for FY06-07.

EVALUATION

As specified in the agreements, the District Project Lead Team in conjunction with a Lawson Software Project Leader will supervise and manage the project. As part of that process, they will provide weekly reports through the Division Chiefs to the Superintendent's cabinet as well as provide feedback through regular status meetings. Meeting target dates indicates a healthy project while working on or after the timeline dates indicates problems with the software, project staffing, or project management. As with the original Lawson implementation, regular senior management involvement in meetings, and assisting with resolving issues, helps keep the project on course toward a timely and successful completion.
