Contract with Mac Papers Utilizing the Department of Management Services, Division of Purchasing for the Purchase of White Twenty-Pound Bond Paper (Business Division)

EXECUTIVE SUMMARY

Procurement has the responsibility to initiate cost saving wherever possible. Applicable Florida Department of Education and district policy allows purchases from contracts awarded by other governmental agencies, district school boards, Department of Management Services (DMS), etc., at or below specified prices. This practice reduces procurement administrative costs and can provide lower prices for large agencies' volume.

Paper is a very volatile commodity. The price of paper changes as mills pass on costs to distributors. It has been the practice of most sites/departments to purchase white twenty-pound paper by the case from Office Depot due to the convenience of next-day delivery and limited storage space. The results from a recent contract announced by the DMS provides a viable economic alternative and one-year fixed pricing for the purchase of ten cases or more. Mac Papers has a facility in Tampa, which allows a 1-to-2 day delivery. Annual savings of $158,000 has been projected and we are anticipating fifty percent of Hillsborough County Public Schools volume to move to the DMS contract.
